An activation email is then sent. Several situations can cause a failure at this stage:

  • The invitation email lands in the spam folder, especially in public email services like Gmail or Outlook. Checking this folder is the first reflex to have.
  • The address entered by the HR department contains a typographical error. In this case, no automatic follow-up corrects the problem: you must contact the payroll department to request a resend.
  • The activation link has expired. Temporary links have a limited validity period, and attempting to register after this period results in an error.

Once the link is functional, creating the password follows the usual standards: minimum length, special characters, confirmation. The account becomes active immediately after this step.

Document Retention and Limits of the Digital Vault

MyArkevia is presented as a long-term archiving space for pay slips. Competitors announce a document retention period of fifty years. This figure corresponds to the legal framework applicable to electronic pay slips, which must remain accessible to the employee for an extended period.

This duration should not be confused with the employer’s obligation, which retains a copy of the pay slip for only five years. After this period, only the employee’s vault is valid. Losing access to your MyArkevia account can therefore have concrete consequences on the ability to produce proof of income.

Account Deletion and Right to Erasure

  • Reversibility: in case of service termination or change of provider, the employee must be able to recover all their files in an exploitable format.

MyArkevia After Leaving the Company

The MyArkevia account remains accessible even after leaving the employer who set it up. The documents already archived are not deleted upon termination of the employment contract. However, no new pay slip will be deposited by the former employer once the contractual relationship has ended.

The new employer may use a different provider for the dematerialization of pay slips. The employee then finds themselves with several distinct digital vaults, each linked to a period of employment. Centralizing their pay slips in a single space requires manually downloading them from each platform.
